- Personal Information: During registration and profile setup, we collect your full name, title, National ID, phone number, and email address.
- Organizational Information: We store details about your organization, including its name, branch, location, logo, and contact information.
- Meeting Data: All content you create within the app, such as meeting details, participant lists, agenda items, notes, and the final generated minutes, is stored securely.
- Payment Information: When you submit proof of payment via M-Pesa, we parse the confirmation message to extract the transaction code, amount, sender name, phone number, and transaction time. We explicitly and automatically discard any information related to your M-Pesa balance.
- Technical Information: We use necessary data for session management to keep you logged in. We do not use third-party trackers for advertising purposes.
2. How We Use Your Information
Your information is used for the following purposes:
- To Provide and Maintain the Service: To operate the app, generate minutes, manage user accounts, and provide customer support.
- To Manage Subscriptions: To verify payments, activate or extend subscriptions, and manage account access based on subscription status.
- To Communicate With You: To respond to your inquiries submitted through our contact form and to send important account-related notices.
- To Improve Our Application: We analyze usage patterns in an aggregated, non-identifiable way to improve the app’s features and user experience.
3. Data Storage and Security
We take the security of your data seriously. All your information is stored on secure cloud infrastructure provided by Google Firebase. We implement industry-standard security measures, including data encryption and access controls, to protect your data from unauthorized access, alteration, or disclosure. However, please be aware that no method of transmission over the internet is 100% secure.

Your privacy is paramount. We do not sell, rent, or trade your personal information with any third parties for their marketing purposes. We will only disclose your information if required to do so by law or in response to valid requests by public authorities.

- Access and Update: You can access and update your organization’s and members’ details through the administrative functions within the application.
- Data Deletion: You can request the deletion of your account and associated data by contacting our support team. Please note that deleting your account is irreversible.

MinutesHUB is not intended for use by individuals under the age of 18. We do not knowingly collect personal data from children.
